Burns & McDonnell Office Administrative Assistant (Denver) in Denver, Colorado

Description

The Denver Regional Office Administrative Assistant will provide administrative support to the office Executive Assistant and Regional General Office Manager to ensure the continuity of daily office-wide functions and operations. This position coordinates with leadership to provide administrative services to help the Denver Office and the Americas West Region meet goals and objectives.

What you will do

  • Organization and execution of office-wide events and meetings including those for groups visiting the Denver office from corporate offices in Kansas City or other locations. Additionally manage events held by Denver office leadership held here or in other locations. Candidate must have strong organizational skills and ability to adjust to the challenges that present themselves in executing small and large events.

  • Facilitate the dissemination of information to the Denver office and the Americas West Region through various channels including but not limited to email, Outlook calendar invitations and our internal MacCentral website.

  • Field questions regarding the Denver Office and the Americas West Region; research and provide appropriate answers.

  • Prepare and present meeting notes, presentations and tables utilizing Excel, PowerPoint, OneNote, Word and Forms.

  • Support presentations for monthly staff meetings and various other meeting presentations.

  • Monitor deadlines and benchmarks for the Denver office events and daily operations. This includes some onboarding responsibilities for new employees.

  • Monitor department deadlines and benchmarks and support presentation of monthly progress reports including tracking action items and progress updates.

  • Plan, coordinate and facilitate on-site and off-site meetings. This may include: orientation and training, stakeholder meetings, management meetings, periodic reviews, etc.

  • Assemble and analyze information involving plans and budgets to keep EA and RO Manager up-to-date on projected and final costs.

  • Monitor, review, and approve standard expenditures to ensure the activities of the department are conducted within established budgets.

  • Responsible for handling sensitive and confidential information.

  • Coordinate office related issues and complaints and follow up that resolution has been obtained.

  • Take photos of events and of new hires to update internal resources on MacCentral (company’s internal website) and Open Asset.

  • Manage relationship between Denver office staff and building café staff/management to liaison and find solutions as needed.

  • Provide back-up at front desk/reception as needed.

  • Onboarding assistance to include logistics and tracking for New Employee Coffee attendance, distribution of onboarding gifts and assisting new hires with questions as a friendly and welcoming “go-to” resource.

  • All other reasonable duties necessary to assist the team.

Qualifications

  • High School Diploma/GED Required, four-year degree preferred

  • Applicable office/clerical experience preferred.

  • Advanced knowledge in Microsoft Outlook, Word, Excel, PowerPoint required.

  • Ability to work independently; demonstrating accuracy, reliability, and problem solving skills.

  • Excellent organization skills, attention to detail, verbal and written communication skills, and ability to handle multiple tasks.

  • Demonstrated ability to communicate professionally and effectively with all levels within an organization and with others outside of the organization (i.e. clients, vendors, business partners, community leaders). Candidate will need to have excellent written and verbal communication skills for many aspects of this role.

  • The ideal candidate will be an assertive and proactive critical thinker with a can-do solutions oriented work style.

Hourly Range

$19.00 - $37.00

The expected compensation range for this position is displayed in compliance with all local/state regulations. The final agreed upon compensation is based on a number of factors, including but not limited to: individual education, qualifications, prior work experience and work location. The total annual compensation package will consist of an hourly pay rate and eligibility to participate in our discretionary year-end incentive bonus program.
