Sony Pictures Entertainment Administrative Assistant IV, Business Affairs in Culver City, California

The Administrative Assistant IV will provide a full range of administrative support for EVP & SVP of Business Affairs for Columbia Pictures & Tristar.

Responsibilities

  • Word processing (composing and generating letters, memos meeting agendas, tracking charts, spreadsheets))

  • Handling phone calls, forwarding calls, taking messages, clearing voicemail, keeping call logs

  • Distributing and following-up on documents

  • Updating databases and lists

  • Scheduling and preparing for meetings, circulating agendas, securing internal locations for meetings, setting up for meetings and handling the AV for each meeting.

  • Attending meetings and taking notes of action items and circulating these notes following the meeting.

  • Drafting deal memos, drafting and updating BA reports with edits as needed, and keeping folders organized/ up to date

  • Handling calendar, setting up calls, making reservations for meals.

  • Proofreading and editing of meeting schedules, spreadsheets.

  • Preparing and processing expense reports in Concur, handling all expense report reconciliation and requests for further information, reconciliation of corporate credit card expenses and ensuring that the expense reports are approved timely, and the credit card charges are paid. Obtaining internal approvals of expenses, where required.

  • Managing document flow, including creating and maintaining files (electronic and hard copy), scanning documents and emails when required.

  • Handling internal communications and requests within SPE

  • Researching travel options for business trips, booking all airplane travel, hotels, transfers, purchasing screening passes and festival passes, purchasing screening tickets, handle alterations to travel bookings.

  • Other general administrative duties (processing mail, copying, etc.)

  • Miscellaneous duties as required

    Qualifications

  • In-Person role (i.e. not remote) based at the Culver City studio lot.

  • Experience drafting deal memos and BA reports preferred

  • Strong computer skills (Microsoft Word Microsoft Excel)

  • Detail-oriented with exceptional organizational and interpersonal skills

  • Ability to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner

  • Ability to meet deadlines Flexibility is key – an ability to work well in an environment where needs and priorities are subject to much revision

  • Common sense, dependability, discretion and attention to detail are required

  • Self-starter with a team-player attitude

  • Excellent communication skills – written and oral (must have a professional and courteous demeanor)
