The Role

The University of Chicago Crime Lab Education Lab is seeking a Compliance Associate to support the internal communications and operations related to previously executed data use agreements (DUAs). This person will work with staff throughout the Urban Labs to track, extend, and amend existing data use agreements for ongoing active projects, or to prepare for project/contract closeout upon termination. This individual will also work with the Data and Compliance Manager to support the annual auditing of technical compliance requirements, and support meeting management for the Urban Labs Privacy and Security Committee.

Job Summary

The job performs routine assignments related to regulatory compliance programs, including the interpretation of systems to identify areas of risk and coordinates internal audits. With a high level of direction, participates in compliance documentation, compliance training, and compliance committee formation.

Responsibilities

  • Monitors upcoming contract expirations across the Crime Lab and Education Lab, and proactively communicates with teams to confirm ongoing needs.
  • Creates regular reports on expiring DUAs for research teams and the Data Operations Associates.
  • Initiates the process to renew or extend expiring DUAs before the termination date. Works with research teams to draft amendments and extensions to active DUAs, as needed.
  • Coordinates with research teams and the Data Operations Associates to develop communication plans for partner organizations and the University Research Administration (URA) for all contract renewals and amendments.
  • Manages the flow of DUA renewals and amendments to URA. Gathers the materials needed to submit contract renewals for review via the University\'s AURA system.
  • Oversees closeout processes at the conclusion of a DUA or project. Works with data stewards to ensure data is destroyed or returned in compliance with the DUA.
  • Supports the Data and Compliance Manager in developing Urban Labs staff policies and operational procedures for ensuring compliance NIST 800-171 requirements, as well as DUA terms and IRB protocols
  • Supports the Data and Compliance Manager with meeting management of the PSSC and Privacy meeting. Produces agendas and takes meeting minutes. Tracks completion of action items for each Lab.
  • Coordinates with Crime Lab and Education Lab staff regarding completion of the annual all staff HIPAA training. Ensures that all staff and affiliates have completed the required ITI and HIPAA training and maintains related documentation for audits.
  • Supports project management for the annual IRB audit and data access audit for the Crime Lab and Education Lab.
  • Maintains department or clinic compliance with a high level of guidance.
  • Prepares, completes and submits all compliance documentation on a routine basis. Coordinates compliance committee meetings.
  • Performs other related work as needed.
