Position Summary

The Office Assistant for the Early Childhood Division will support the Family Advocate and Leadership Team in a variety of administrative functions. The Office Assistant will assist in making the critical organizational connections to ensure children and families are ready to be successful in Kindergarten and in life, and that all Head Start Performance Standards and specific funding regulations are met or exceeded.

Essential Duties: **As a support member of the Early Childhood Division, and reporting to the Program Director, the Program Office Assistant is responsible for the following:

  • Maintain an up to date electronic and physical records

  • Regularly monitor COPA reports to ensure data is accurately captured in a timely manner

  • Periodically enter, update, and monitor child/family health information on the data management system

  • Enter and update records related to attendance, support with daily attendance calls to families

  • Assist with special projects on an as-needed basis.

  • Support leadership in entering and updating developmental screens to ensure all are completed within 45 days of a child’s first day of service with the program

  • Enter and update Family Engagement data on management system

  • Perform a variety of support functions, including answering calls, responding to messages, greeting families etc.

  • Participate in offered trainings, workshops, in-service days, and/or all-staff conferences including supervision

  • Maintain confidentiality

  • Assist with other administrative tasks as needed

And other related duties as assigned, at the discretion of the Early Childhood Program.

Minimum Qualifications: **The Office Assistant must have qualifications that satisfy Federal Head Start requirements and the New York City Department of Health and Mental Hygiene (DOHMH) Article 47 regulations. In addition, the Office Assistant must have:

  • Two years of related experience required; High School Diploma/GED required; Associate degree preferred

  • Excellent computer skills: Microsoft Word, PowerPoint, Excel, experience with on-line data management systems

  • Strong interpersonal and effective communication skills; both oral and written

  • Be organized and have effective planning skills, high attention to detail

  • Ability to work under pressure and meet tight deadlines

  • Bilingual in English and Spanish
