Job Summary

The Enrollment Management division at CU Boulder encourages applications for a Senior Assistant Director for Virtual and On-Campus Visit Programs! This role will assist in leading the efforts of the Office of Admissions by promoting and providing a welcoming environment for students and their families when they visit the University of Colorado Boulder campus or participate in virtual events. This position involves significant leadership and participation in the development and the administration of admission policies and procedures and the management and coordination of admission-related programs and activities. The responsibilities of this position include, but are not limited to, managing a number of large scale, on-campus visit programs, supervising a Virtual and On-Campus Visits Program Coordinator, analyzing visitor data, assisting in coordinating and conducting virtual events, co-supervising Student Ambassadors, supporting the supervision of campus information desks, attending recruitment trips and reading student applications. The on-campus programs team manages events that bring nearly 55,000 visitors annually to campus. The volume and nature of the on-campus visit programs requires that the person in this role be detail-oriented, able to lead multiple projects at once and have a clear understanding of programming-from visualization through execution. A critical piece of campus visit programs are the student ambassadors who are a key component to visit programs running and functioning properly. The senior assistant director will co-advise this 100+ student volunteer group, which covers 100% of the office's daily tour offerings and aids in supporting additional programs within the office. In addition to co-advising this group, this position will help change and shape the future of the ambassador program so that it can continue to grow as the Office of Admissions and campus visit programs grow at CU Boulder. The Senior Assistant Director will provide direct oversight and supervision of the Virtual and On-Campus Visits Program Coordinator. This includes daily interactions, weekly or bi-weekly one-on-one meetings, yearly evaluations and regular feedback. The incumbent will serve as the direct liaison with the Marketing and Communication team on virtual and on-campus visit program promotional and business communications, website updates and any programmatic changes or updates. This includes working collaboratively to develop strategies, draft content and periodically use the office's CRM system to push information out to registered guests. This person reports to the Associate Director of Admissions/Director of CASE Building Services and is a member of the Virtual and On-Campus Programs Leadership team, as well as the Admissions Supervisorteam. What Your Key Responsibilities Will Be

  • Plan, coordinate and supervise a majority of on-campus visit programs for prospective and admitted students, including, but not limited to: Discover CU Boulder (prospective student program), Explore CU Boulder (prospective student program), Admitted Buff Days and Admitted Student Tour and Information Sessions (admitted student programs), Admitted Student Day (admitted student program), and daily information sessions and tours (prospective and admitted student program). Serve as the back-up coordinator for the Program Coordinator and provide assistance as needed during on-campus program events. Work as the main virtual and on-campus programs liaison with the Marketing and Communication team to develop strategies to promote on campus visit programs and strategically and effectively analyze data (visitor counts and survey feedback) to recommend and implement improvements and changes to on-campus visit programs. Collaborate with the Associate Director and the Admissions Supervisor team to ensure campus programs meet strategic recruitment and outreach goals. Be a part of the Admissions Supervisor team and assist in developing policies and procedures for the office as a whole. Participate in staff development activities including appropriate university workshops, conferences and programs, and state and national professional organizations.

  • In conjunction with the Program Coordinator, co-advise the student ambassador team which includes, but is not limited to, regular tour ambassadors, campus programs visit ambassadors, Ralphies Visits ambassadors, transfer ambassadors, and special assignment ambassadors. Co-mentor the student ambassador executive team.

  • Provide supervision and oversight of the Virtual and On-Campus Program Coordinator and On-Campus Programs Intern, which includes training, managing and evaluating the supervisees. Offer tertiary supervision, training and evaluation of the student and support staff members working in the CASE building at the two designated information and visitor services desks.

  • Help with the development, creation and implementation of virtual events. This can include, but is not limited to: virtual information sessions, live and on location tours, special population events and admitted student events. Implementation of these events includes securing ambassadors to assist, as well as full-time staff.

  • Serve as a back-up, in CASE, when the Associate Director of Admissions/Director of CASE Building Services is not available. Assist with issues that arise with tenants and guests and provide support to the Assistant Director of CASE Building Services as needed. Assist in providing oversight of the CASE building in conjunction with a CASE Advisory Board and committee, which advises and assists the Director on matters related to the operation, policies, and spaces (i.e., retail, food, and office) of the CASE building. Ensure there is regular student, staff, and faculty involvement in the operation of the CASE building that meets the needs of the campus.

  • Provide insight and suggestions, as they relate to program planning, as a liaison with various teams throughout the office. Serve as the primary liaison with the College of Engineering and Applied Science, and the College of Media, Communication and Information, as well as other colleges, schools and programs as assigned.

  • Conduct admission presentations to various populations and train new staff hires on the daily admission tour presentation. Advise and counsel prospects, applicants, and students on CU Boulder admission policies, procedures, and requirements. Develop and maintain effective communication with constituents in the university, high school, other institutions of higher education, government agencies, community-based organizations and professional organizations regarding the admission of students to CU Boulder. This includes representing CU Boulder to a broad range of constituents at college fairs, community college visits, large-scale receptions and other recruitment activities when needed.

  • Assist the Associate Director in overseeing Counselor on Duty (COD) scheduling within CASE. Review the COD in-take form on a regular basis to: pull information that could provide training opportunities for admission counselors, gather data on the most common appointment types and if information could be added to the information session presentation or a handout to better serve guests, and review completion of forms for accuracy and student record matching.

  • Serve as the primary Slate user for the on-campus programs team which includes the building of events, template organization, folder structure and overall organization as it relates to on-campus events.

  • Other duties as assigned.

What We Require

  • A bachelors degree from an accredited college or university; equivalent combination of education and experience may substitute.

  • Minimum 5 years of progressively more responsibility and management experience in a collegiate admissions office.

  • Valid driver's license.
