Client Service Representative

Want to enjoy coming to work every day and feel like you are making a difference? VCA Blairstown Animal Hospital is seeking a full-time customer service star for our front office! We are an AAHA accredited practice with five doctors. We are a busy practice that highly values teamwork and positive interactions with both fellow co-workers and customers. Our ideal candidate would have at least one year of experience as a veterinary receptionist, a friendly and outgoing personality and be self-motivated. Exceptional customer service is a must!

Typical duties will include but may not be limited to:

Client Relations:

  • Greet clients and pets immediately upon entering

  • Ensure the reception area has client education handouts, up to date reading materials, and is clean and odor free.

  • Check that client emails, addresses and phone numbers in medical records are current.

  • Record pet’s weight at each hospital visit into the medical record.

  • Schedule appointments and surgeries. Provide clients with pre-appointment and pre-surgical recommendations i.e. fasting prior to appointment.

  • Answer phones calls promptly and in a friendly and professional manner. Route calls to the proper staff members, answer inquires about services and/or products.

  • Call to confirm next day appointments when required.

Invoicing:

  • Prepare invoices, collect and process payments. This will include making change, processing credit cards, Care Credit, debit payments and counting the cash drawer. Complete end of day financial balances ensuring they are accurate.

  • Know the fees for routine services and standards of veterinary care for the practice so you can educate and inform clients properly.

  • Explain invoices to clients. If you cannot answer their questions regarding fees, speak with a team member or Doctor.

Administration:

  • Demonstrate proficiency using computers.

  • Enter data into medical records following specific protocols.

  • Ensure the efficacy of the reminder system in the patient’s record.

  • Maintain an adequate supply of client education material at the front desk i.e. Brochures, handouts, etc.

  • Regularly update client information area in the hospital lobby

  • Schedule referral appointments and confirm details, date and time with client. Inform client of any necessary preparation prior to appointment.

  • Prepare all required forms including health and immunization certificates, and euthanasia forms.

  • Review charts of all discharged patients for completeness.

  • Maintain the appointment and boarding schedule.

  • Prepare information packets – new puppy/kitten packages, dental packages, etc.

  • Receive clients, out-patient, animals to be euthanized and emergencies.

  • Ensure all treatment, surgery, boarding forms are filled out completely and a contact number is left.

  • Check in/out boarders, surgeries and appointments.

  • Keep reception desk and lobby tidy and clean.

  • Collect specimens that clients bring in for laboratory analysis. Label and take to lab area. Make notation in medical record.

Marketing and Promotion:

  • Promote products and services through client education using the appropriate terminology. Must be well versed in the subjects of parasites, vaccinations, routine surgeries, heartworm, flea and tick prevention.

Performance Responsibilities:

  • Will strive to maintain positive internal and external customer service relationships.

  • Must be able to demonstrate effective leadership skills.

  • Must demonstrate effective communication skills by conveying necessary information accurately, listening effectively and asking questions when clarification is needed.

  • Must be able to be depended upon to plan, organize and work effectively to ensure tasks are completed.

  • Must demonstrate reliability by arriving to work on time and taking breaks in expected time frames.

  • Will be expected to meet all productivity requirements.

  • Must be able to demonstrate positive team behavior and promote a team-oriented environment.

  • Is expected to represent the practice professionally at all times, inclusive of proper attire.

  • Must be able to demonstrate initiative, strive to continually improve processes and relationships.

Evening and weekend hours are part of the schedule. The salary range for this position is commensurate with experience Actual hours will be determined by the scheduling needs of hospital.

Must have the physical ability to navigate 1 flight of stairs daily as the building does not have an elevator. You would also be required to be able to lift 40 lbs. and stand on your feet for long periods of time.

Hourly pay will be based on prior experience.
