Provide supportive customer service in the office in person, by phone, and email when communicating with students, staff, and vendors. Manage all aspects of the office, including assuring staff and students are assisted in a timely manner to keep the office flow moving. Help assist in motivating the unit to reach operational objectives. Assist in scheduling and participating in interviews for both full-time and student staff. Train and direct student assistants in the Kinsolving admin office. Respond and follow through with written and oral University and UHD policies. Oversee the maintenance of office supplies and its budget accountability. Coordinates linen/uniform services and act as a liaison for employees. Logs and distributes invoices daily and investigate any discrepancies. Ensure work orders are processed according to departmental protocols, including emergency work orders and end-of-the-month summary report. Correspond with vendors as needed for repair issues, service requests, and invoicing which will require the use of systems like Food Pro, Micros, and FAMIS. Assist the Dining Unit Manager by following up on tasks and adhering to deadlines while managing productivity and time. Such tasks may include processing, reviewing, and correcting time records in Workday, taking minutes for UHD meetings, and assisting the unit by being hands-on during high-volume meal periods and/or events. Other duties as assigned. Assist with cash handling procedures and maintain the highest level of security for files, cash funds, and any sensitive materials. Maintain compliance with UT and UHD cash handling policies and procedures. Establish and maintain strong lines of communication between the Kinsolving office team and unit staff. Act as a point of contact for unit employees by providing resources to help resolve issues. Communicate effectively with both internal and external customers such as facilities maintenance, key control and security, IT, and other internal departments. Coordinate with UHD Marketing team to update menu design and changes and assist with marketing initiatives as required for events (team day) and projects as needed.
