Description

VISTA Technology Services, Inc. (VISTA) is currently seeking an Executive Assistant to support our NAVSEA customer in Washington, DC. This position reports onsite at the Washington Navy Yard 5 days a week. The Executive Assistant is responsible for a broad range of strategic activities and is expected to work with limited direction, executing significant discretion and judgment in all aspects of their role. This position requires an individual with strong administrative, project management, and communications skills as this person must effectively support and communicate with internal and external DoD senior executives across various fields, particularly US Navy. The Executive Assistant should be proactive, self-motivated, and be able to prioritize multiple tasks for numerous people in a fast-paced and high-demand environment including comprehensive meeting and travel arrangements.

Responsibilities:

  • Manage DoN senior executive calendars

  • Plan, coordinate, organize, and schedule meetings and special events

  • Prepare, format, edit, serialize, route, file, and track correspondence and documentation

  • Utilize DoD Defense Travel Systems (DTS) to make travel arrangements for senior executives

  • Utilize Defense Information System for Security (DISS) to coordinate and manage visit requests

  • Manage and organize detail-oriented tasks, and process awards

  • Maintain action item trackers, monitor internal and external tasks and requests for information

  • Work independently and with a team to effectively manage multiple tasks within a dynamic and high speed work environment

Qualifications:

  • Bachelor's Degree AND 5 years of Navy/DoD administrative experience as an executive assistant supporting senior program managers; 13 years of Navy/DoD administrative experience will be considered in lieu of a degree

  • Experience managing DoD senior executive calendars

  • Proficient using in Microsoft Office (Excel, Word, PowerPoint, and Outlook), MS Teams, and SharePoint Online (SPO)

  • Extensive experience using DoD Defense Travel Systems (DTS)

  • Experience using Defense Information System for Security (DISS) to coordinate and manage visit requests

  • Knowledge of DoD organization, culture, and terminology

  • Familiarity with Navy Award System and experience processing awards

  • Familiarity with DoD and DoN correspondence guidance

  • Familiarity with Department of Navy (DoN) Records Management (RM)

  • Strong administrative, project management, and communications skills

  • Strong verbal communication and technical writing skills

  • Ability to work under time constraints and resolve problems and conflicts

  • Active Navy CAC, Flank Speed, DTS, and DISS access strongly desired

  • Active DoD Secret Clearance required
