ASM Global Savor Coordinator in Long Beach, California

ASM Global | Savor at The Long Beach Convention & Entertainment Center is in search of a full-time Savor Coordinator. This person will be responsible for providing organizational and operational support to the Savor General Manager and Director of Catering Sales and Events.

A background in catering and events or hotel administration is preferred but not required.

Hourly Rate: $28 -$32

Qualifications: This role requires someone who picks up new procedures and information with ease, and demonstrates strong interpersonal, verbal and written communication skills.

Summary of Responsibilities:

Manages Schedules and Task Calendars

Keeps Event Books Current

Produces Event Files

MUST have Presentation Skills and Knowledge of PowerPoint and other presentation software.

• Handles calls and messages from clients and the public with professionalism, discretion, and grace.

• Acts as office receptionist, greeting and directing guests and/or relaying messages

. • Manages communication with clients and members via email and zoom.

• Possesses strong knowledge of Microsoft Office programs (Word, Excel, Outlook, Publisher, etc.) and a willingness to become a pro at the catering software/Ungerboek and floor planning software programs

. • Manages the Savor General Manager and the Director of Catering Sales & Events’ schedule, sets up meetings, and handles follow up as directed.

• Coordinates and prioritizes the department's needs on a daily basis while juggling multiple assignments

. • Works well under pressure in a fast-paced environment.

• Able to maintain a professional and approachable demeanor while demonstrating a positive team player attitude

• Possesses excellent people skills.

The role is looking for a professional to 'connect the dots' to keep our high-volume Savor Department running smoothly.

• Maintaining accurate and up ‐ to ‐ date records and files for all event projects.

• Managing the administrative details (RFP's, invoices, contracts, COIs, deliveries, etc.) for vendors and suppliers.

• Tracking and maintaining event requests, rentals, document deadlines and files.

• Maintains current records in Events databases for clients, vendors, and clients.

• Manages proposal and contract tracking.

• Develops event-specific organizational tools such as production timelines, contact lists, on-site deliverables schedules.

• Provides research support and completes tasks required for event execution.

• Creates presentations and basic signage, flyers, place cards, seating charts and other printed pieces.
