JOB TITLE: Sales Administration Assistant

DEPARTMENT: NOA (Sales Administration)

WORKING RELATIONSHIPS:

REPORTS TO: Sr Sales Administration Manager-Europe

INTERFACES WITH: Sales Administrator at Playa, Marbella and Mallorca,

Service of Process, Cork Owner Services.

OVERALL RESPONSIBILITIES - SUMMARY:

SPECIFIC DUTIES

  • Scanning Law Court Notifications and send them to MVW Service of Process.

  • Complete the excel tracking with all the information about the case.

  • Create a folder and store all the documentation related to the case.

  • Save a copy in One Drive

  • Upload all the documentation in to NetDocument

  • Liaise when necessary, with Service of Process, Cork Owner Services, and Outside Counselor.

  • NOA Documents Request Mail Box

DESCRIPTION OF GENERAL ADMIN DUTIES

  • Check the documentation in the trays for the Sales Executives are always updated and filled.

  • Photocopying SIF’s for all resorts and blank copies of the Term Sheets.

  • Shredding the documents with PII information.

  • Enroll new clients in to the Bonvoy Rewards Program

  • Answering the phones and take accurate messages

  • Any other admin related task as requested by Manager

  • To prepare the mail out (stickers)

CLOSINGS

  • Printing reports from Universe weekly in order to keep track of all closed contracts.

  • Send Ownership Certificates to clients.

  • Clean the files and remove the PII information.

  • File the folders in the Sales Admin filing cabinets or porta cabin.

SCANNING

  • Cleaning, scanning and organizing files for storage

REQUIREMENTS:

  • Must be fluent in English and Spanish

  • Advanced skills in the use of Microsoft Software

  • Ability to work under pressure and manage multiple tasks

  • Must be able to adapt to a flexible working days and hours

  • Good analytical and communications skills

  • Be able to identify and have comprehension of PII information

  • Be able to use the scanner machine
